Terms of Service

Please read these Terms of Service (“Terms”) carefully before using Axis. By adding Axis to your Discord server or interacting with the bot, you agree to be bound by these Terms. If you do not agree, you must immediately remove Axis from your server and cease use of the Service.

1. Acceptance of Terms

These Terms constitute a legally binding agreement between you and the Axis development team (“Axis”, “we”, “us”, or “our”). Your access to and use of the Service is conditioned upon your acceptance of and compliance with these Terms, as well as Discord's own Terms of Service and Community Guidelines.

These Terms apply to all users of the Service, including:

  • Server Administrators — individuals who install and configure Axis
  • Server Staff — individuals granted moderation or management permissions
  • Server Members — individuals who interact with Axis features

2. Description of Service

Axis is a cloud-based Discord automation platform delivered as a Software-as-a-Service (SaaS) bot. The Service provides Discord servers with the following modules:

Ticket System

  • Members may open support tickets through Discord UI components
  • Staff may respond to, manage, and close tickets
  • Ticket conversations and metadata are stored and logged
  • Transcripts of ticket conversations may be generated and retained

Task Management

  • Staff may create tasks and assign them to server members
  • Tasks are stored with status tracking and full update history

Changelog System

  • Servers may publish structured updates and announcements
  • Messages are delivered to configured Discord channels via webhook or bot messaging

Roadmap System

  • Servers may share planned features or future updates
  • Roadmap items may be viewable, votable, or trackable by members

Automation (Planned)

We intend to introduce workflow automation, event-triggered actions, and notification systems in future releases. These features will be governed by these Terms or any supplemental terms issued at the time of release.

3. User Roles and Responsibilities

Axis interacts with multiple distinct user types, each bearing specific responsibilities:

Server Administrators

By adding Axis to a server, the Server Administrator agrees to these Terms on behalf of their server community. Administrators are solely responsible for:

  • All configuration decisions, including permission settings and module setup
  • All moderation and user management actions taken using Axis features
  • Ensuring server members are informed of the bot's presence and data collection practices
  • Compliance with applicable laws in their jurisdiction regarding data collection and processing

Server Staff

Staff are individuals granted permissions by a Server Administrator. Staff actions — including ticket management and task assignment — are the responsibility of the Server Administrator who granted those permissions.

Server Members

Members interact with Axis through slash commands, buttons, and modals. Members are responsible for all content they submit and agree not to submit content that violates Section 8 of these Terms.

4. Age Requirements

You must be at least 13 years of age to use Axis, consistent with Discord's minimum age requirement.

If you are located in a jurisdiction where the minimum age for data processing consent is higher — such as 16 years in certain EU member states — you must meet that higher requirement. By using Axis, you represent that you meet the applicable age requirement in your jurisdiction.

5. Bot Permissions

In order to function correctly, Axis requests certain Discord permissions within servers where it is installed. These permissions may include, but are not limited to:

  • Read Messages / View Channels — to respond to user commands and interactions
  • Send Messages — to deliver bot responses, ticket notifications, and changelog entries
  • Manage Channels — to create or configure ticket channels
  • Manage Roles — to assign or modify roles as part of automated workflows
  • Create Threads — to organize ticket conversations in threaded format
  • Add Reactions — to provide interactive feedback within messages
  • Manage Webhooks — to send structured messages to configured channels

We request only the permissions necessary to deliver the Service. Server Administrators are responsible for reviewing and approving these permissions at the time of installation.

6. Intellectual Property

Axis Property

All rights, title, and interest in and to the Axis platform — including but not limited to its source code, infrastructure, branding, design, logos, APIs, and documentation — are and shall remain the exclusive property of the Axis development team. Nothing in these Terms transfers any ownership rights to you.

User-Generated Content

You retain ownership of any content you submit through Axis, including ticket messages and attachments. By submitting content, you grant Axis a limited, non-exclusive, royalty-free license to store, process, and display that content solely for the purpose of delivering the Service. You are solely responsible for ensuring that content you submit does not infringe on third-party rights.

7. Data and Privacy

Your use of Axis is also governed by our Privacy Policy, which is incorporated into these Terms by reference. The Privacy Policy describes:

  • What data we collect
  • How we use and store it
  • Your rights with respect to that data

By using the Service, you consent to the data practices described in the Privacy Policy.

8. Acceptable Use Policy

You agree not to use Axis for any unlawful purpose or in any manner that violates these Terms. Prohibited activities include, but are not limited to:

  • Using Axis to harass, bully, threaten, or abuse any individual
  • Submitting spam, unsolicited advertisements, or repetitive content
  • Distributing malware, phishing content, or other malicious code through Axis features
  • Attempting to exploit, reverse engineer, or circumvent any security features of the Service
  • Overloading or disrupting Axis infrastructure, including deliberate rate limit circumvention
  • Violating Discord's Terms of Service or Community Guidelines
  • Using Axis to collect or store personal data about individuals without appropriate legal basis
  • Impersonating Axis staff or misrepresenting affiliation with the Axis project

Enforcement: Axis reserves the right to immediately suspend or terminate access for any user or server found to be in violation of this Acceptable Use Policy, without prior notice or liability.

9. Service Limitations and Disclaimer of Warranties

Important: The Service is provided “as is” and “as available” without warranty of any kind, express or implied.

To the fullest extent permitted by applicable law, Axis expressly disclaims all warranties, including but not limited to:

  • Warranties of merchantability, fitness for a particular purpose, and non-infringement
  • Guarantees of uninterrupted, error-free, or secure operation of the Service
  • Guarantees of uptime, response time, or system availability
  • Guarantees of the accuracy, completeness, or reliability of any data processed through the Service
  • Guarantees that data stored through Axis — including ticket history, task records, and logs — will be preserved indefinitely or protected against loss

Axis does not guarantee data preservation. Server Administrators are responsible for maintaining their own backups of any critical information processed through the Service.

10. Limitation of Liability

To the fullest extent permitted by applicable law, Axis and its developers shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising out of or related to your use of the Service, including but not limited to:

  • Data loss — including ticket history, task records, or stored content, whether due to outage, failure, misconfiguration, or any other cause
  • Data leakage — or unauthorized access resulting from server misconfiguration, third-party security incidents, or user error
  • Moderation decisions — made by Server Administrators or Staff using Axis features
  • Automation errors — resulting from workflow execution, event triggers, or notification delivery
  • Misconfiguration — of Axis by Server Administrators or Staff
  • Third-party actions — taken or not taken by services integrated with Axis

Note: Axis is a tool used by Server Administrators. Administrators are solely responsible for moderation, user behavior, configuration decisions, and content posted within their servers. Axis does not moderate any Discord server.

In jurisdictions that do not allow the exclusion of certain warranties or limitation of liability, our liability shall be limited to the maximum extent permitted by law.

11. Third-Party Services

Axis operates through Discord's platform and relies on third-party cloud infrastructure and services. Your use of Discord is governed by Discord's own Terms of Service and Privacy Policy.

Axis is not affiliated with, endorsed by, or sponsored by Discord Inc. We are not responsible for the availability, security, or policies of any third-party services used in the delivery of Axis.

12. Service Termination and Suspension

Axis reserves the right, at its sole discretion and without prior notice or liability, to:

  • Suspend or terminate a user's access to the Service for violation of these Terms
  • Remove the Service from any Discord server at any time
  • Disable, restrict, or discontinue any feature of the Service
  • Shut down the Service entirely, temporarily or permanently

Upon termination, your right to use the Service will immediately cease. Axis is not liable for any damages or losses resulting from the termination or suspension of the Service.

13. Indemnification

You agree to defend, indemnify, and hold harmless Axis and its developers from and against any claims, liabilities, damages, judgments, awards, losses, costs, and expenses (including legal fees) arising out of or relating to:

  • Your violation of these Terms
  • Your use of the Service
  • Your User-Generated Content
  • Your violation of any rights of a third party

14. Changes to These Terms

We reserve the right to modify these Terms at any time. When we make material changes, we will update the effective date at the top of this document. Where reasonably practicable, we may notify Server Administrators via Discord announcement.

Your continued use of the Service after changes become effective constitutes acceptance of the revised Terms. If you do not agree to the revised Terms, you must remove Axis from your server and cease use of the Service.
